Registration FAQs

Registration Information

All speakers, participants and attendees must register. Early rates will be honored for all registrations postmarked by Friday, September 25, 2009.  Late rates apply if postmarked after September 25, 2009.
Please read our cancellation and refund policies below. 

Conference Days
Sunday through Wednesday, Nov 8-11, 2009.  Seminars, requiring registration and additional fees, will be held on Friday, Saturday & Sunday, Nov. 6-8, 2009.

Full conference registration includes:

  • Access to all sessions, beginning with the 1pm plenary session on Sunday and ending with the Presidentís Reception, Wednesday evening;
  • All social events listed in the program including the Welcome Reception, Annual Awards Luncheon, International Reception and the Presidentís Reception;
  • 1 copy of the Proceedings on CD-ROM (papers presented at the conference).
  • Non-members registering for the full ASIS&T conference will receive a one-year complimentary ASIS&T regular or student membership (electronic delivery of JASIST and access to the ASIS&T Digital Library.  The complimentary memberships do not apply if registering only for the ICKM conference or for daily registration.

Annual Awards Luncheon and Proceedings
The Annual Awards Luncheon will be held on Tuesday, November 10 at 12:00noon. Anyone registering for the full conference, including students, will receive one admission ticket to the Awards Luncheon and a copy of the Proceedings on CD-ROM. Additional award luncheon tickets or copies of the Proceedings may be purchased on-site.  Luncheon tickets are non-refundable.

Daily Rates
If you cannot join us for the entire conference, take advantage of our special daily rates!  Early bird and member rates are also available on single-day registrations.

Other Rates
Retiree rates are for ASIS&T retired members only. Student rates are available for both members and non-members.

Sister Societies
Members in good standing of ASIS&T and sister societies qualify to register at member rates.
Sister Societies are:  Canadian Association of Information Science (CAIS), Special Libraries Association (SLA), the Medical Libraries Association (MLA), International Society for Scientometrics, Informetrics (ISSI), American Association of Law Libraries (AALL) and Consortium of ISchools of Asia-Pacific (CiSAP).  Please include the name of your sister organization and membership number on the registration form to receive the discount.

Onsite Registration Information and Check-In

On-site registration will be available at the ASIS&T conference hotel, the Hyatt Regency Vancouver (located at 655 Burrard Street, Vancouver, BC, Canada V6C 2R7, Tel: +1 604 683 1234, during the on-site registration hours posted below.  All speakers and registrants must check-in at the ASIS&T registration area to pick up your name badge and conference materials

If you are not already a member of the ASIS&T family, you can join by checking the membership box on the registration form and register at the member rate.  Where the form asks for a member number, write "applied for." Click here for information on ASIS&T memberships.

Sister Societies

Pre-conference Seminars and Workshops

Pre-conference seminars or workshops are full and half day highly attended professional education courses that will be held Friday, Saturday and Sunday Nov. 6-8, prior to the meeting, at the conference hotel (Hyatt Regency Columbus). The fees for these seminars and workshops are in addition to regular conference registration fees. If you are registering for a seminar or workshop only, you do not have to pay an additional daily registration fee.  You will receive a ticket for each pre-conference seminar you've registered for.  Please double check that you've received the correct ticket(s) when you receive your badge and conference materials.

 

Registration Confirmation and Payments

You will know you are registered when you have received an e-mailed confirmation from ASIS&T.  This confirms that you have registered for the conference and/or any pre-conference courses.  This confirmation will also serve as your receipt of payment.  All payments must be received by ASIS&T before the conference begins.  We will accept payments on-site, but prefer to receive them in advance to avoid confusion.  Early rates end September 25, 2009.  

 

Cancellations and Refunds

We will honor all cancellation and refund requests received in writing by Friday, October 2, 2009. Unfortunately, we can not issue refunds after this date. All refunds will be subject to a $50 (U.S.) cancellation fee.  Refunds will be issued in the same manner in which payment was made.  This may take up to six to eight weeks after the conference. 

 

Badge and Conference Materials

When you arrive at the ASIS&T registration area, please provide us with your last name and you will receive your name badge, tickets for any registered pre-conference seminars, an awards luncheon ticket, the final conference brochure, a proceedings CD-ROM and all other conference materials in a handsome tote bag. Once you have picked up your badge and materials, you need not check-in at the ASIS&T registration again.  You will be required to wear your badge to attend any and all functions, throughout the annual meeting, so please don't loose it!  Secure your tickets, as these will be collected, as well.

 

Keynote Speakers

Two plenary sessions have been planned, Sunday at 1pm and Wednesday at 10:30am.. 

 

Exhibits Information

Companies and/or individuals can demonstrate their products, display literature, or advertise in our meeting brochure at special exhibitor fees.  There is no additional conference attendee fee for this area. 

 

Placement Center

ASIS&T has expanded its career development program at the annual meeting to include an online submission system. This way, candidates and employers will have an opportunity to submit and view resumes and jobs before the meeting! This will also give all an opportunity to contact each other to set up interviews at the Hyatt Regency in Vancouver, where we will have interview rooms available.  Please take advantage of interview resources that have been provided.

Conference Hotel

The 2009 Annual Meeting conference will be held at the Hyatt Regency Vancouver, (located at 655 Burrard Street, Vancouver, British Columbia, Canada V6C 2R7, Tel: +1 604 683 1234). What Should I Wear?

Business attire is the appropriate dress code for this conference.  Meeting room temperatures fluctuate, so it is recommended that you bring a sweater or dress in layers. You may wish to wear something dressier to the Awards Luncheon on Tuesday and the Presidentís Reception Wednesday evening.
